How to Prevent Line Breaks from Breaking Rows in OCR Table Extraction

Published October 28, 2026 · 6 min read · GridExtract Technical Staff

The Problem with In-Cell Word Wrapping

In purchase orders, procurement bills, and medical equipment manifests, column A often holds a short item code (e.g., "SKU-992"), while column B contains an extensive paragraph describing technical specifications, dimensions, and manufacturer warranty details across 4 or 5 lines of wrapped text. Adjacent column C then lists a single price ("$450.00").

When traditional PDF converters process this layout, they do not understand that the 5 lines of text in column B constitute a single semantic record. Instead, the converter registers each line as a new row. The resulting spreadsheet has 5 rows: row 1 contains the SKU, the first line of the description, and the price. Rows 2 through 5 contain only fragments of the description in column B, with blank cells in columns A and C. This corrupts sorting, filtering, and formula calculation.

How Cell Line Unwrapping Works

  1. Bounding Box Enclosure: The visual segmentation engine groups all text lines that reside within the horizontal width of column B and between the upper and lower row gridlines into a single container.
  2. Hyphenation & Whitespace Normalization: Words broken across lines with soft hyphens (e.g., "manufac-\\nturer") are reconnected into "manufacturer", while soft returns are replaced with single spaces.
  3. CSV Quoting Guard: If internal line breaks are retained, the exported CSV wraps the field in double quotes according to RFC 4180 rules, preventing spreadsheet software from breaking the row prematurely.

Cell Line Wrapping FAQs

Why do line breaks inside a cell cause extra rows in Excel?
Standard CSV files use newline characters (\n) to delineate the end of a record. When text inside a table cell wraps across three lines, naive converters emit raw newlines without proper quotation, which spreadsheet programs interpret as three separate rows.
How does GridExtract detect that multiple text lines belong to the same cell?
GridExtract evaluates the vertical distance (leading) between consecutive text baselines within the cell boundary, along with horizontal column gutter constraints. Wrapped lines within the same column are merged into a single cell string.
Can I choose between keeping line breaks inside cells or unwrapping them into spaces?
Yes. By default, internal line breaks are unwrapped into single spaces with punctuation preserved to maintain clean row heights. In Excel exports, internal line breaks can also be preserved using Alt+Enter soft wraps.
How are multi-line headers handled?
Multi-line headers (such as 'Price per\nUnit ($)') are unified into 'Price per Unit ($)', preventing header fragmentation across rows 1 and 2.
Does cell unwrapping affect adjacent single-line numeric cells?
No. Because each column is evaluated independently, a 4-line description in Column B aligns horizontally with the single-line price in Column C on the exact same row.
Can this feature be used for contracts and legal deposition indexes?
Yes. Legal indexes and contract schedules often feature lengthy narrative clauses alongside section numbers; GridExtract keeps each clause contained within its own row.
